COVID-19 Changes in the Way We Communicate with You

COVID-19 | Keeping You and our Staff Safe | Changes in the Way We Communicate with You

Like many businesses, we have had to adapt to the way in which we work both internally and externally when dealing with clients.

Before the outbreak of the pandemic, one of the first things we would discuss with a potential client was making arrangements for them to call into the office to review their requirements.

This is no longer the first option.

Like many of us we have had to adapt to the way in which we all communicate.

We now regularly use video calls in place of telephone calls using the likes of Microsoft Teams, Zoom, WhatsApp and others.

Many of us were unfamiliar with this technology until lockdown however, it has now become an important cornerstone and the way in which we will continue to communicate with clients.

We appreciate not everybody has access to this sort of technology and we take that into account and assess your individual requirements however, it can be done by telephone, e-mail or traditional post.

Face to Face Meetings

Our Policy is as follows:

1. Before agreeing to see a client in the office, we must be satisfied that we have exhausted all other lines of communication in obtaining instructions to properly deal with your matter.

2. Before attending the office, you will be informed of our procedures which will be strictly adhered to when attending which are:

a. Upon arrival press the intercom to confirm your name and that you have an appointment;

b. Upon entering, please wear your face covering. If you do not have one, please ask our reception staff who will be able to provide you with a complimentary face covering;

c. Sanitise your hands using the automatic dispenser in reception;

d. It may be that your visit to our office is to hand over some papers or for a brief discussion with the fee earner dealing with your own matter.

This can be done, maintaining confidentiality in the reception area bearing in mind we will only be allowing one client in at a time alternatively, if we have agreed to see you in our meeting room, this can be done ensuring we comply with the social distancing rules;

e. All surfaces which you will come into contact with will have been thoroughly cleaned with antibacterial solution both before and after your attendance in our office;

f. If your discussion with our Solicitor is taking place within one of our meeting rooms, we will ensure that it is adequately ventilated and our policy is to restrict internal minutes to 30 minutes where possible. We appreciate this is not possible in every matter however, your Solicitor will advise you of this before you come in.

If you have any queries as to what procedure will be followed when you come into the office, you should not hesitate to speak to a member of our team who will be glad to advise.
